Managing Documents

Centralize all property and tenancy documents. Upload, organize, and share leases, certificates, inspection reports, and agreements securely.

Getting Started

  1. Upload documents — Click 'Upload Document' and select the document type (lease, certificate, inspection, agreement, etc.).
  2. Organize by property/tenancy — Link documents to specific properties or tenancies for easy retrieval.
  3. Use Document Creator — Generate standard documents directly in RentFig, including Section 8 and Section 13 notices, Prescribed Information, a Written Statement of Terms, HMO notices and tenant letters. RentFig fills in the property and tenancy details for you.
  4. Share with tenants — Mark a document as visible to the tenant and it appears in their secure tenant portal — no RentFig account or login needed on their side.
  5. Download & archive — Download any document at any time, or keep it archived in RentFig for compliance records.
  6. Keep an audit trail — Every upload records who added it and when, so you can always show where a document came from.

Common Questions

What documents can the Document Creator generate?

Section 8 Notice, Section 13 Rent Increase Notice, Certificate of Service (N215), Ground 4A Notice (student HMO), Prescribed Information (deposit), TDS Custodial and Insured scheme leaflets, Written Statement of Terms, HMO Manager’s Details Notice, Renters’ Rights Act Info Sheet, Tenancy Confirmation Letter, Welcome Letter, Entry Notice Letter and Privacy Notice (Data Protection).

How do I share a document with a tenant?

Upload or create the document, then mark it visible to the tenant. It then shows up in that tenancy’s secure portal, which the tenant opens from their own private link — they never need a RentFig login, and they only ever see documents for their own tenancy.

What document types can I upload?

You can upload any document type: leases, certificates, inspection reports, receipts, agreements, inventory reports, and more.
